Sharing with Outside Parties

Create upload and download share links so external parties can exchange files for a single case, and manage what you've shared.

Sharing lets you exchange evidence with people outside your account — opposing counsel, a custodian, a client — without giving them a full Evidence Locker account. You generate a share link tied to one specific case. The external person signs in through a confined share login that only ever grants access to that one case.

There are two directions:

  • Upload (intake) links — let an outside party send files into a case.
  • Download links — let an outside party retrieve files you've made available from a case.

Before you begin

  • You need to be an Account Owner, Account Admin, or a Case Manager on the case. (Client Users and Share Users can't create or manage share links.)
  • Open the case you want to share from.

Open the case workspace and go to Share Management. This shows every link for the case in a table with:

  • Direction — Upload or Download
  • Type — Secure (requires share login) or Public
  • Sent and Expiration dates
  • Created By
  • Message — how many recipients it was sent to (or "Copied Link")

Select a link's Manage Share Link action to open a details panel where you can:

  • Copy Link Url — grab the shareable URL to send yourself
  • Link Report — download a report of the link's activity
  • Cancel Link — expire it immediately so it can no longer be used

Everything you've shared, in one place

The Links menu opens Shared By Me, a roll-up of everything you've shared across cases, showing Case Name, Share Type, Shared By, Created, and Expires. Open a row to jump to that case's Share Management.

What the external person experiences

When someone opens a share link they land on the share login page, branded with your company's logo or name (see Billing and Subscription). After signing in through the confined share login they get exactly one of:

The external user sees the case's intake area where they can upload files, create folders to organize what they send, and see a running Uploaded total of what they've contributed. Their files flow into the case just like internal uploads.

The external user sees the files you've made available and can select individual files or folders (or download everything), then Download — a single file downloads directly; multiple items or a folder download as a ZIP.

Why this is safe

A Share User's session is confined to the shared case. They never see your other cases, your team storage, your user list, or any company settings — the side menu hides everything except the case shared with them. Cancel a link any time from Share Management to cut off access immediately, and links carry an expiration date.
