Creating and Managing Cases

Create a case, organize its folders, archive it when the matter wraps up, and recover deleted items.

A case is the container for everything related to one matter: its evidence files, folders, acquisitions, and share links. When you open a case you enter its Workspace, where day-to-day work happens.

Before you begin

  • You need to be an Account Owner, Account Admin, or a Case Manager to create and edit cases.
  • Client Users can open cases assigned to them but see case details as read-only.

Find and open cases

Click Cases in the side menu to open the case list. From here you can:

  • Search for a case by case name, client name, or job number. The search box understands boolean queries: uppercase AND, OR, NOT, parentheses for grouping, and "quoted text" for an exact phrase. Plain words match word beginnings and inflections (deposition finds "Depositions"); quoted phrases match exactly.
  • Switch between card and table views.
  • Toggle Hide archived cases to focus on active matters.

Open a case to enter its Workspace. The Workspace side menu gives you the case's folders, acquisitions, share management, recycle bin, and case details.

Create a case

  1. From the Cases list, click Add Case.
  2. Fill in the details. Client Name, Case Name, and Case Type are required; everything else is optional:
    • Identifiers: Case Number, Client Matter Number, Job Number
    • Parties and contacts: Party Represented, Primary Contact, Additional Contact, phone numbers, Address
    • Notes
  3. Click Add Case.

The new case opens ready for you to add folders and evidence.

Edit case details

Open a case and go to its Case details screen. Update any field and click Update Case. The screen also shows who created the case and when.

Organize folders and files

In the case Workspace, the folders view is where you manage the case's file tree:

  • Add Folder to create structure.
  • Upload files or whole folders — see Uploading Evidence.
  • Right-click items for Download, New Folder, Properties, Rename, Move, and Trash.
  • Use the breadcrumb trail to navigate up, and Search to find items.
  • Download a single file as-is, or multiple items and folders as a ZIP.

Archive and reactivate a case

When a matter wraps up, archive it to keep your active list clean:

  1. Open the case's Case details screen.
  2. Click Archive and confirm. The case moves to the Archive Locker.
  3. To reopen it later, return and click Activate.

Archived cases stay fully intact — archiving just changes their status and hides them when Hide archived cases is on. You can review storage by case in the Archive Locker dashboard.

Delete and recover

  • Files and folders: right-click an item and choose Trash to move it to the case's Recycle Bin. Open the recycle bin, select items, and choose Restore to send them back to their original folder.
  • A whole case: the Case details screen has a Delete action (with confirmation) for removing a case entirely.

Company-wide overview

The Dashboard gives admins and case managers a cross-case view:

  • Custodians — every custodian across cases, with a link to that case's acquisitions
  • Acquisitions — all acquisitions and their processing state across cases
  • Active Locker — active cases with total files and size
  • Archive Locker — archived cases with totals
  • Recycle Bin — deleted-item totals per case

Each row's Manage link jumps you straight into that case.

Assign people to a case

Case access is granted per user. Account Owners and Admins assign Case Managers and Client Users to specific cases so they only see what they should — see Inviting Your Team.
