Evidence Locker organizes access around roles. Every person who signs in belongs to a company (your organization) and is assigned one role within it. Your role decides which menus you see and which actions you can take.
This page explains the roles in plain language so you can pick the right one when you invite someone.
The roles at a glance
| Role | Who it's for | What they can do |
|---|---|---|
| Account Owner | The person who owns the subscription (usually whoever signed the company up) | Everything an Account Admin can do, plus billing: subscription, checkout, branding, and cancellation. There is one owner per company. |
| Account Admin | Team leads and managers who run the platform day to day | Manage users, create and manage all cases, manage team storage, and create share links. Cannot change billing. |
| Case Manager | Examiners and investigators working on specific matters | Work inside the cases they're assigned to: upload and view evidence, run acquisitions, organize folders, and create share links for their cases. They only see the cases granted to them. |
| Client User | Outside counsel or clients who need limited, read-focused access | A confined login that can view the specific cases they're assigned to. They don't manage users, team storage, or share links. |
| Share User | An external person who only needs one case | Accesses a single shared case through a share link, with no full account. See Sharing with Outside Parties. |
Who each persona is
Account Owner
The Account Owner set the company up and is responsible for the bill. Only the owner sees the Subscription screens, can run checkout, upload company branding, and cancel the subscription. If the subscription lapses, the owner is the only person who can reactivate it. See Billing and Subscription.
Account Admin
Admins run the workspace without touching the bill. They invite and manage users, assign people to cases, create cases, and manage organization-wide Team storage. Most "manager" tasks in your firm map to this role.
Case Manager
The hands-on examiner. A Case Manager only sees cases they've been assigned to (an admin grants this access). Inside those cases they can upload evidence, start Cellebrite phone imports, browse parsed chats, organize folders, and create share links. They can't manage users or company-wide settings.
Client User
A limited, assigned-access role — typically for a client or outside party who should view case materials but not administer anything. Client Users don't see Team storage, user management, or the share-link manager.
Share User
A Share User is not a member of your company. They receive a share link, sign in through a confined share login, and can only see the one case that was shared with them — nothing else in your account. This keeps outside parties walled off from the rest of your evidence.
How roles map to what you see
- The left side menu changes by role. Dashboard, Cases, and Team only appear for internal roles; Share Users see only the case shared with them.
- Account & Billing in the user menu (top-right) appears only for Account Owners and Account Admins.
- Subscription screens and the branding editor are Account Owner only.
- The Users page is restricted to Account Owners and Account Admins.
