Cases & Collaboration

Inviting Your Team

Invite teammates, assign roles, grant case access, and manage existing accounts.

Account Owners and Account Admins manage who can use your Evidence Locker account and what they can reach. User management lives on the Users page and is available only to the Account Owner and Account Admin roles.

Before you begin

  • Sign in as an Account Owner or Account Admin.
  • Decide each person's role and which cases they should access.

The users list

Open Users from the user menu. The table shows each person's Name, Email, Role, Company, Last Login, and Status (Active, Invited, or Disabled). Use Search to filter, and click a row to manage that user.

Invite a user

  1. On the Users page, click New User.
  2. In the invite panel, choose a Role:
    • Account Admin — manage users, all cases, and team storage
    • Case Manager — work only on assigned cases
    • Client User — limited, assigned-access viewer
  3. Enter First Name, Last Name, and Email (required). Optionally add a Phone number and Company name.
  4. Click Send Invite.

The person receives an invitation email and sets their own password through the Accept Invitation flow. Until they do, their status shows Invited.

The Account Owner role isn't assignable here — there's one owner per company.

Grant case access

Case Managers and Client Users only see the cases you assign to them:

  1. On Users, click the person to open their management panel.
  2. Go to the Assigned Cases tab. (This tab appears only for Case Managers and Client Users — Admins and the Owner have access to all cases automatically.)
  3. Search for cases if your list is long.
  4. Check the cases this person should access — a green Assigned counter tracks the total, and the header checkbox selects all.
  5. Click Update.

Their access updates immediately — they'll see exactly the cases you checked, and nothing else.

Edit a user

From a user's management panel you can update their Role, First Name, Last Name, Phone number, and Company name, then click Update User. Email is shown but not editable, and an Account Owner's role stays locked to Owner.

Block, allow, delete, or re-invite

The user panel's actions let you control access:

  • Block sign-in — stop a user from logging in (they show as Disabled).
  • Allow sign-in — restore a blocked user.
  • Delete User — remove the account entirely (with confirmation).
  • Resend Invite — re-send the invitation email to someone who's still Invited.

The Account Owner is protected: these actions don't apply to the owner account.

Tips

  • Give people the least access they need — assign Case Managers only to their matters, and use Client User for view-only outsiders who still need an account.
  • For one-off external exchanges, prefer a share link instead of creating an account — see Sharing with Outside Parties.
  • Company-wide security settings (like enforcing two-factor for everyone) live under Account Settings — see Billing and Subscription.
